Assistant to Program Director
Job Description:
· Administrative tasks such as and not limited to:
- Filing documents.
- Responding to emails.
- Providing different compiled sheets and files as requested by the Dean office.
· Attend meetings and taking minutes specifically program council and any other as requested
· Handle all details with regard to program hosted events and field trips (preparation, catering, sending calendar invitations, etc.)
· Manage petty cash transactions efficiently (specifically that used in events and graduation project funds)
· Facilitate the hiring process for new faculty members both full time and part time with all its details such as submitting a request, and preparing mandate letters and confirming all details with the HR department
· Help with student related matters such as
- Credit transfer (maqassa)
- Student abroad,
- Student medical cases and sick leave
- Expected to graduate lists
- Petitions follow up
· Handle procurement requests related to the program in coordination with the procurement department through the ERP system
· Assist the program director in the course offering and grouping for the upcoming semester
· Collaborate with the program director to coordinate the advising process
· Assist the program director in the preparation of the teaching load of all staff members
· Review all program related schedules such as semester schedule, midterm schedule and final exam schedule
· Prepare program related schedules such as office hour schedules, proctoring schedules, etc.
· Coordinate with other program assistants to ensure smooth operation within the school (such as details with regard to common courses)
· Collaborate with Student recruitment department during discovery tour and events
· Collaborate with different departments to ensure smooth operation and finalize common tasks such as Student Requirement Office, Student life, Registrar, Admission
Job Requirements:
- Bachelor’s degree in any relevant.
- Minimum 2 years of experience in the same field.
- Excellent written and verbal communication skills in both Arabic and English
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High Communication skills.
- Presentable.
