Assistant to Dean of Graduate Studies
Job Summary
The Assistant to the Dean position works with the Dean to assist with the management of school staff, a variety of administrative and clerical duties in the office, and other necessary tasks associated with the daily operation of the school and programs. This position is an important component of the cohesive team of students, faculty members, and staff serving the educational and research mission of the school.
Key Responsibilities
- Serve as a liaison and maintain effective communication between the postgraduate schools, including the Dean, faculty members, assistants to program directors, and various departments such as HR, Registrar, Admissions, Finance, Library, and the Provost's Office. Ensure that all collected data and postgraduate processes are functioning correctly, and act as a problem solver as needed within the scope of responsibilities.
- Assist in data collection and the collation of information and dissemination of information with the internal stakeholders and Councils of Private National Universities “CPNU”.
- Ensure that the schools align with NU postgraduate (PG) policies and regulations. Maintain and update the manual guidelines accordingly.
- Maintain a comprehensive administrative filing system for the Dean’s office while ensuring confidentiality and discretion in handling school-related business and files. Perform general administrative duties, including word processing, filing, answering phones, photocopying, faxing, and creating and retrieving correspondence.
- Organize data related to the PG schools, current and prospective faculty and staff information, workload, compensation, and prepare reports.
- Work with Program Directors and Program Coordinators to ensure coordination of school activities.
- Provide support to different committees by recording and transcribing minutes, preparing agenda packages, and arranging logistics for meetings. Assist in meeting coordination, planning, and following up on deadlines for various tasks as required.
- Follow up the PG Admission and automation and cycle processes. Revise and action the PG announcements.
- Perform other tasks as requested by the Dean.
Job Requirements
- Bachelor’s degree in business major/Engineering major/ or any related field.
- Active & Dynamic personality with excellent administration skills.
- Excellent Organizational skills, Effective communication skills and problem solving.
- Excellent time management and ability to handle tight deadlines.
- Excellent English proficiency (Spoken & Written)
- Arabic proficiency especially in writing official correspondence.
- Excellent proficiency of MS office package (Excel, Word, PPT)
- Excellent surveying skills and information hunt.
- Experience in similar administrative roles is a plus.
